Terms & Conditions
Please review the following rental policies, payment terms, cancellation policies, and customer responsibilities before confirming your order with Sitra Furniture Rentals Inc.
By signing or approving a Sitra estimate, invoice, or rental agreement, the Customer acknowledges and accepts all terms and conditions outlined below.
Rental Agreement
In this agreement, the terms “Customer” and “Renter” refer to the individual or company renting equipment or merchandise from Sitra Furniture Rentals Inc. (“Sitra”).
All rental items described on the estimate, invoice, or agreement (“Equipment”) are rented subject to the following terms and conditions.
Authority
If the Customer is a corporation, organization, or business entity, the individual signing this agreement confirms that they are authorized to enter into this agreement on behalf of the Customer.
Ownership of Equipment
All rental equipment remains the sole property of Sitra Furniture Rentals Inc. No ownership rights are transferred to the Customer under this agreement.
Use of Equipment
The Customer agrees to use, maintain, and store all rental equipment in a safe, secure, and proper manner.
Equipment must only be used for its intended purpose and in accordance with all applicable laws, regulations, and manufacturer guidelines.
Payment Terms
Full payment is required in order to confirm and secure all rental orders.
Sitra Furniture Rentals Inc. does not accept partial payments, payment plans, or installments unless otherwise approved in writing.
Rental products, furniture, and inventory are not guaranteed or reserved until full payment has been received and cleared.
Sitra Furniture Rentals reserves the right to release or rebook any inventory that has not been fully paid for.
Orders will not be scheduled for delivery or pickup until full payment has been received and confirmed.
Any changes made after confirmation may be subject to additional charges.
The Customer agrees to pay:
- Rental fees and applicable taxes
- Replacement or repair costs for damaged or lost equipment
- Cleaning charges for equipment returned excessively dirty
- Additional delivery, transportation, parking, or service fees if applicable
- Legal or collection fees related to unpaid balances
Overdue balances may be subject to interest charges of 2% per month (24% annually).
Reservation Policy
Rental items are reserved only after receipt of:
- A signed rental agreement or estimate
- A valid credit card on file
- A 50% non-refundable deposit
Orders are not guaranteed until all reservation requirements have been completed.
Custom Orders
Custom orders require full non-refundable payment before production or preparation begins.
If a custom order is cancelled, all deposits and payments made toward the order are non-refundable.
Final Payment
Full payment is required no later than two (2) weeks prior to the scheduled event date.
Orders placed within two weeks of the event date must be paid in full immediately to secure the reservation.
Sitra reserves the right to delay or cancel deliveries for unpaid balances.
Changes made to completed orders may be subject to additional service charges.
Cancellation & Refund Policy
All payments made to Sitra Furniture Rentals Inc. are non-refundable within four (4) months of the scheduled event date.
Once full payment has been received, rental inventory is secured and reserved exclusively for the Customer’s event. For this reason, cancellations made within four (4) months of the event date are not eligible for refunds, credits, or exchanges.
Any cancellations made more than four (4) months prior to the event date may be reviewed at Sitra Furniture Rentals’ discretion and may still be subject to administrative or cancellation fees.
Reductions in quantities, unused rental items, last-minute cancellations, or on-site item removals are also non-refundable.
No refunds will be provided for:
- Cancelled orders
- Reduced quantities
- Unused rental items
- Last-minute cancellations
- On-site item removals
Payment Methods
Sitra Furniture Rentals accepts:
- Visa
- MasterCard
- American Express
- Debit / Interac
- E-transfer
- Cash
- Direct deposit
- Certified cheque
Please note:
- Credit card payments are subject to a 5% processing fee.
- E-transfer payments are subject to a $10 administrative fee.
- All processing and administrative fees are non-refundable.
Returned payments, declined cards, or insufficient funds may result in additional service charges or cancellation of the order.
Last-Minute Orders
Any last-minute orders, same-day orders, or additional on-site rental requests must be paid in full before delivery or setup.
Payment for last-minute or on-site orders must be completed by e-transfer and confirmed by Sitra Furniture Rentals Inc. prior to releasing or delivering the rental items.
Sitra Furniture Rentals reserves the right to refuse delivery, setup, or release of additional products until payment has been fully received and verified.
Safety & Liability
The Customer is fully responsible for the safe and proper use of all rental equipment and furniture provided by Sitra Furniture Rentals Inc.
Sitra Furniture Rentals shall not be held responsible or liable for any accidents, injuries, damages, losses, claims, or incidents resulting from:
- Improper use of rental furniture or equipment
- Unsafe handling or setup by the Customer or venue staff
- Overloading, standing, climbing, or misuse of furniture
- Venue conditions or unsafe flooring
- Guest negligence or misconduct
- Failure to follow safety recommendations
The Customer assumes full responsibility for any injuries, property damage, or claims occurring during the rental period at the event venue or delivery location.
Sitra Furniture Rentals is not responsible for damages or accidents caused after delivery and setup have been completed.
Right to Refuse Service
Sitra Furniture Rentals Inc. reserves the right to refuse, delay, modify, or cancel delivery, setup, pickup, or service at any time if conditions are deemed unsafe, inaccessible, inappropriate, or beyond our reasonable control.
This includes, but is not limited to:
- Unsafe weather conditions
- Unsafe venue conditions
- Blocked or inaccessible delivery areas
- Aggressive, abusive, or inappropriate behavior toward staff
- Unpaid balances or payment issues
- Unsafe setup locations
- Last-minute changes affecting safety or logistics
- Conditions that may place staff, guests, equipment, or property at risk
Sitra Furniture Rentals shall not be held responsible for delays, incomplete setups, cancellations, or service interruptions resulting from unsafe or unacceptable conditions.
Furniture Placement & Movement
For safety and damage prevention purposes, Customers and venue staff are not permitted to move rental furniture or equipment after it has been delivered and placed by Sitra Furniture Rentals Inc.
Once setup has been completed, all furniture and rental items must remain in their designated locations unless approved or moved by authorized Sitra Furniture Rentals staff.
Sitra Furniture Rentals shall not be responsible for damages, injuries, accidents, flooring damage, or product breakage resulting from furniture or equipment being moved, dragged, carried, or repositioned by the Customer, guests, venue staff, or third parties.
Additional service charges may apply if Sitra Furniture Rentals is requested to return to reposition furniture after setup has been completed.
Loss or Damage
The Customer assumes full responsibility for all rented equipment from the time of delivery until the time of pickup or return.
The Customer is responsible for any loss, theft, damage, misuse, fire, weather damage, vandalism, or destruction of rental items.
Replacement or repair costs will be charged to the Customer as necessary.
Weather Conditions & Outdoor Use
Certain rental products may not be suitable for use during adverse weather conditions, including but not limited to rain, strong winds, snow, extreme heat, or unsafe outdoor conditions.
For safety and damage prevention purposes, Sitra Furniture Rentals reserves the right to restrict, remove, cancel, or refuse the setup of certain items during unsafe weather conditions.
This includes, but is not limited to:
- Bars
- Bar accessories
- Decorative items
- Shelving units
- Umbrellas
- Drapers
- Lightweight furniture
- Specialty décor items
The Customer understands and accepts that some rental items may not be usable during poor weather conditions and that no refunds, credits, or discounts will be provided due to weather-related limitations, restrictions, or safety concerns.
Sitra Furniture Rentals shall not be held responsible for weather-related damages, delays, or event interruptions beyond our control.
Delivery Delays & Transportation Conditions
Sitra Furniture Rentals Inc. is not responsible for delivery delays, interruptions, or failed deliveries caused by circumstances beyond our reasonable control.
For deliveries outside the local area, including long-distance deliveries to other cities or towns, unexpected situations such as the following may affect delivery schedules:
- Major vehicle accidents
- Highway closures
- Road closures or detours
- Heavy traffic conditions
- Severe weather conditions
- Police or emergency activity
- Transportation restrictions or delays
In the event that roads, highways, or delivery routes become unsafe or inaccessible, Sitra Furniture Rentals reserves the right to delay, reschedule, modify, or cancel deliveries for safety reasons.
The Customer understands and accepts that Sitra Furniture Rentals shall not be held liable for delays or the inability to complete delivery due to events beyond our control
Venue Access & Delivery Conditions
The Customer is responsible for ensuring safe and adequate access to the venue, delivery area, loading dock, elevators, and setup location prior to delivery and pickup.
Additional charges may apply for:
- Long walking distances
- Stairs without elevator access
- Difficult loading conditions
- Delayed venue access
- Restricted delivery times
- Waiting time caused by the venue or Customer
- Multiple trips required for setup or pickup
Sitra Furniture Rentals shall not be responsible for delays, incomplete deliveries, or additional labor caused by limited access, blocked entrances, unavailable elevators, or venue restrictions.
Setup & Breakdown Timing
The Customer is responsible for ensuring that the venue is ready and accessible during the scheduled delivery, setup, and pickup times.
Delays caused by venue restrictions, unavailable access, ongoing events, or unprepared setup areas may result in additional labor, waiting time, rescheduling, or overtime charges.
Sitra Furniture Rentals shall not be held responsible for incomplete setups or delays caused by venue timing restrictions or lack of access.
Return of Equipment
Equipment must be returned in the same condition in which it was delivered, excluding normal wear and tear.
Sitra reserves the right to inspect all returned items before determining final condition and applicable charges
Equipment Inspection & Acceptance
The Customer is responsible for inspecting all rental items upon delivery and setup.
Unless concerns or damages are reported immediately at the time of delivery, all equipment shall be considered accepted in good condition.
Claims regarding missing items, damages, incorrect quantities, or product condition must be reported to Sitra Furniture Rentals immediately upon delivery.
Cleaning & Excessive Damage
All rental items must be returned in reasonable condition, free of excessive dirt, stains, food residue, wax, tape, paint, smoke odor, or other abnormal damage.
Additional cleaning, repair, or replacement charges may apply for:
- Beverage or food stains
- Candle wax damage
- Makeup stains
- Cigarette or smoke damage
- Tape, glue, or adhesive residue
- Paint, marker, or ink stains
- Burn marks or scratches
- Excessive dirt or misuse
Sitra Furniture Rentals reserves the right to determine whether equipment requires additional cleaning, repair, or replacement.
Sub-Rental & Transfer Restrictions
Rental equipment provided by Sitra Furniture Rentals Inc. may not be sub-rented, transferred, relocated, loaned, or used by third parties without prior written authorization from Sitra Furniture Rentals.
Rental items may only be used at the approved event location listed on the rental agreement unless otherwise authorized in writing.
Unauthorized relocation or third-party use of rental equipment may result in additional charges, immediate cancellation of services, or replacement fees.
Force Majeure
Sitra Furniture Rentals shall not be held responsible for delays, interruptions, or failure to perform caused by events beyond reasonable control, including but not limited to:
- Severe weather
- Natural disasters
- Government restrictions
- Transportation interruptions
- Labor disputes
- Utility failures
- Fires or emergencies
Indemnification
The Customer agrees to indemnify and hold harmless Sitra Furniture Rentals Inc. from any claims, damages, injuries, liabilities, or expenses arising from the use or misuse of rental equipment.
Entire Agreement
This agreement represents the complete understanding between the Customer and Sitra Furniture Rentals Inc. and supersedes any prior verbal or written agreements.
Governing Law
This agreement shall be governed by the laws of the Province of Ontario and the laws of Canada applicable therein.
Additional Terms
- Rental equipment must not be altered, painted, modified, or damaged.
- Sitra branding or identification labels may not be removed.
- Customers must notify Sitra immediately if equipment becomes unsafe or damaged.
- Overtime or late return charges may apply if equipment is not returned as schedule
Acceptance of Terms
By approving or signing a Sitra estimate, invoice, or rental agreement, the Customer confirms that they have read, understood, and accepted all Terms & Conditions outlined above.
Photography & Marketing
Sitra Furniture Rentals Inc. reserves the right to photograph rental setups, décor installations, and event designs for marketing, advertising, website, portfolio, and social media purposes.
By using our services, the Customer grants Sitra Furniture Rentals permission to use photographs containing rental products unless otherwise requested in writing prior to the event.
